What do missed calls cost your business?
Updated October 26, 2026
When a homeowner with a problem reaches voicemail, many do not leave a message. They call the next company on the list.
You can estimate what that costs you with three numbers you already know.
The three numbers
- Calls you miss in a typical week. Check your phone log: missed, unanswered and after-hours calls all count.
- How many of those callers would have booked. New customers with a problem book more often than people shopping prices.
- Your average job value. Use your average ticket, not your biggest job.
The formula
Missed calls a week × 4.33 weeks × booking rate × average job value = revenue lost each month.
For example, 15 missed calls a week, with 40% who would have booked at $850 a job, comes to about $22,000 a month.
Where missed calls come from
- You and your techs are on a job and cannot pick up.
- Nights, weekends and holidays.
- Busy spells, when several people call at once.
- Lunch, meetings and drive time.
How to win those calls back
- Answer every call in one or two rings, at any hour.
- Book the job on the first call instead of taking a message.
- Send emergencies to your on-call tech right away.
- Call back any lead you missed within minutes, not hours.

Questions
- How do I find how many calls I miss?
- Your phone provider or call tracking tool shows missed and unanswered calls. Look at a normal week and a busy week.
- Do people really not leave voicemails?
- Many do not, especially with urgent problems. They call the next company until someone answers.
- What is a good booking rate?
- It depends on your trade and how the call is handled. Use your own numbers if you track them; 30 to 50% is a reasonable starting guess for new customers with a problem.
